This guide is for store owners and admins. It covers inviting people to your store's team, what they see when you invite them, changing someone's role, removing people and leaving a store.
Before you start
- You need to be the store's owner or an admin. Staff can't open the Team page.
- The person you invite needs an Enviglo account. You invite them by their Enviglo username. If they don't have one yet, send them Create an account and sign in.
- Your plan needs a free seat. See Team size and plan limits below.
Invite someone
- In your store's dashboard, open Settings → Team.
- Go to Invite someone.
- Type their Enviglo username. You can include the
@or leave it out. - Choose a Role: Staff or Admin. Only the owner can invite admins.
- For staff, choose what they can do:
- Tick areas under Staff permissions. Licenses is ticked to start with. If you untick everything, they still join with Licenses.
- On Pro and Ultimate, if your store has custom roles, an Access dropdown appears. Pick a role to put them straight onto it, or keep Tick permissions for them.
- Select Send invite.
Enviglo confirms the invitation and gives them 7 days to accept. Nobody joins your team until they accept.
To learn what admins and staff can do, and how custom roles work, see Roles and permissions.
What the person you invite sees
- They get a notification on Enviglo and an email. It names your store, who invited them, the role they'd have and the date the invitation runs out.
- The invitation appears at the top of Your stores on their dashboard, with what they'd be able to do. They choose Join the team or Decline.
- Joining takes them straight to your store's dashboard.
Owners and admins get a notification when someone joins or declines, unless they've turned off The team under Notifications in their account settings.
Manage open invitations
Open invitations are listed under Invitations on the Team page, with who sent them and when they run out.
- Resend sends the invitation again and gives it another week. You can resend an hour after the last send. Until then the button reads Sent just now.
- Withdraw cancels an invitation so it can't be accepted. You can invite the person again later.
- Once an invitation has run out, the button reads Remove and just clears it from the list. You can also Resend it, as long as you have a free seat.
- Only the owner can resend or withdraw an admin's invitation.
Change someone's role or access
Switch between admin and staff
Only the owner can do this. Under Members, use the dropdown on the person's row to pick Admin or Staff.
- An admin holds every permission in the store.
- Moving someone to staff starts their access again: they go back to Licenses only, and come off any custom role.
They get a notification telling them their new role.
Change what a staff member can do
Owners and admins can do this. On a staff member's row, select the button showing what they can do now. It shows their custom role's name, the areas ticked for them, or No permissions.
- Tick or untick areas. If your store has custom roles, you can pick one under Access instead.
- Select Save.
The person is told what changed. Roles and permissions explains every area and role.
Remove someone
- The owner can remove admins and staff.
- Admins can remove staff, but not other admins.
- Nobody can remove the owner.
To remove someone, select the remove button at the end of their row, then Remove member. They lose access to the dashboard straight away and get a notification. You can invite them again later.
Leave a store
- Admins: open Settings → Team, select Leave on your own row, then Leave store. An owner or admin can invite you back.
- Staff: you can't open the Team page, so ask an owner or admin to remove you.
- The owner can't leave. Hand the store to someone on the team first. Owners can do this under Transfer ownership on the Team page. See Transfer or close your store.
Team size and plan limits
| Plan | Team members |
|---|---|
| Free | 1 |
| Pro | 5 |
| Ultimate | 20 |
- The owner counts as one of these. On Free, the team is just the owner.
- An open invitation holds a seat until it's accepted, withdrawn or runs out.
- Stores that came over from myPod keep the team they arrived with, whatever their plan.
- Settings → Selling shows how many team members you have against your plan.
When there's no free seat, sending an invite shows a message like "Your plan covers 5 team members. Ultimate raises that to 20." See Plans, limits and fees to compare plans.

Troubleshooting
- "No Enviglo user with that username." Check the spelling. The person needs an Enviglo account before you can invite them.
- "Only the owner can invite admins." Ask the owner to send it, or invite them as staff.
- "Your plan covers 1 team member. Pro raises that to 5." On Free, the owner fills the only seat, so you need Pro or Ultimate to add anyone. On a paid plan, remove someone or withdraw an open invitation to free a seat.
- "It went out less than an hour ago. Give them a little time." You can resend an invitation an hour after the last send.
- The person sees "That invitation has run out. Ask the store to send it again." Select Resend on their invitation.
- The person is told your team is full when they accept. This can happen if your plan changed while the invitation was open. Free a seat, then ask them to try again.
