This guide is for store owners and admins. It explains the three store roles, every permission you can give staff, and how to set up custom roles on Pro and Ultimate.
To add people to your team first, see Invite your team.
Every team member is an owner, an admin or staff. Owners and admins hold every permission. Staff get only what you give them.
| What they can do | Owner | Admin | Staff |
|---|---|---|---|
| Everything in the permissions tables below | Yes | Yes | Only what they're given |
| Open Settings → Team: invite staff, set staff access, manage custom roles and approvals | Yes | Yes | No |
| Decide on requests for approval | Yes | Yes | Only with Approve changes |
| Pause and reopen the store | Yes | Yes | No |
| Invite admins, switch people between admin and staff, remove admins | Yes | No | No |
| Ask Enviglo to change the store's address | Yes | No | No |
| Transfer ownership, and use the Danger zone to close or delete the store | Yes | No | No |
A store has one owner. See Transfer or close your store to hand it to someone else.
Whatever their permissions, everyone on the team can open Overview, Analytics, the Products list, Reviews and Notices. Once your store uses approvals, everyone also sees Approvals, where staff follow their own requests.
Anything else in the sidebar appears only when someone has a permission that opens it.
These are the permissions Enviglo checks. Owners and admins have all of them.
| Permission | What it allows | Where it shows up |
|---|---|---|
| Edit products | Create products and change their details, media, files and delivery. | The New product button, a product's Details, Delivery and Media tabs, and making and editing Services |
| Publish products | Publish, unpublish, archive and schedule products. | Publishing controls on a product, and publishing services |
| Prices and sales | Change prices, bundles and run sales. | A product's Pricing tab, and Discounts |
| Delete products | Delete products and file versions. | Deleting products, files and services |
Any one of these opens a product. Each tab then needs its own permission.
| Permission | What it allows | Where it shows up |
|---|---|---|
| See sales and customers | Sales, licenses, and the customer list. | Orders → Purchases, Licenses and Customers, and /stats in Discord |
| Grant licenses | Give someone a product, here or with the Discord bot. | Grant license, and /give in Discord |
| Revoke licenses | Take a product away, or give it back. | Revoke and Restore on a license, and /revoke in Discord |
| Transfer licenses | Move a license to another customer. | Transfer on a license, and /transfer in Discord |
| Giveaway codes | Make and switch off codes that give a product away. | Codes |
| Manage customers | Ban customers, and keep notes on them. | Bans and notes on a customer's page |
Staff need See sales and customers to open the Licenses and Customers pages, which is where licenses are granted, revoked and transferred and customers are banned. Tick it alongside those permissions.
| Permission | What it allows | Where it shows up |
|---|---|---|
| Reply to messages | Answer customers' messages. | Messages, and messaging a customer from their page |
| Handle requests | Quote for and update commission requests, and write in their conversations. | Orders → Requests |
| Permission | What it allows | Where it shows up |
|---|---|---|
| Remove reviews | Take down reviews that break the rules. | Removing reviews under Reviews and on a product's Reviews tab |
| Permission | What it allows | Where it shows up |
|---|---|---|
| Store settings | Profile, branding, links and categories. | Settings → Store and Selling |
| Promote | Run ad campaigns and spend ad credit. | Promote |
| Integrations | Roblox, Discord, API keys, webhooks and the in-game hub. | Settings → Integrations. An API key they make can only do what they can do themselves. |
| Audit log | See everything that has happened in the store, including codes and webhook addresses. | Audit log |
| Approve changes | Approve or turn down changes that need a manager's say-so. | Deciding on requests under Approvals. Their own changes never wait for approval. |
Store notifications follow permissions too. Staff hear about sales only with See sales and customers, new messages only with Reply to messages, custom requests only with Handle requests, new reviews only with Remove reviews, and requests for approval only with Approve changes.
Every plan can give each staff member their own set of permissions by ticking areas. On Free, where custom roles aren't available, it's the only way. Each area stands for a group of the permissions above.
| Area | Gives them |
|---|---|
| Products | Edit products, Publish products, Prices and sales, Delete products |
| Licenses | See sales and customers, Grant licenses, Revoke licenses, Transfer licenses, Giveaway codes, Manage customers |
| Reviews | Remove reviews |
| Settings | Store settings, Promote |
| Integrations | Integrations |
| Messages | Reply to messages, Handle requests |
Audit log and Approve changes aren't in any area. Staff can only get them from a custom role.
To change what a staff member can do:
They get a notification saying what they can now manage. Unticking everything leaves them able to look around the dashboard but not change anything.
A custom role is a named set of permissions, like "Support" or "Builder", that you put staff on. Change the role and everyone on it changes with it. Roles are built from the individual permissions, so you can go finer than the six areas: let someone grant licenses but not revoke them, or edit products without touching prices.
Pro stores can have 5 custom roles and Ultimate stores 20. Free stores can't make them. The Roles section shows how many you've used. Custom roles are only for staff, because owners and admins already hold every permission.
Anything left unticked, staff on the role can see but not change.
To take someone off a role, pick Permissions ticked for them under Access, tick what they need, and select Save.
Select Edit on the role, make your changes, then select Save role. The changes apply straight away to everyone on it.
Select the delete button on the role, then Delete role. People on it go back to the permissions ticked for them. Anyone who joined straight onto the role has nothing ticked, so they can look but not change anything until you give them some.
Staff on a custom role keep their access. You can't create, edit or assign roles until you're on Pro or Ultimate again, but you can still delete them or take people off them.
Only the owner can do this, from the dropdown on the person's row under Members. Moving someone from admin to staff starts their access again with Licenses only, off any custom role. See Invite your team.
